This Acceptable Use Policy sets out the rules that apply to everyone who uses the CAQA HRMS website and platform. CAQA HRMS, part of CAQA Groups and Career Calling International Pty Ltd (ABN 53 162 651 238), provides human resources management tools for education and service organisations, and these rules exist to keep the platform secure, lawful and reliable for every client.
This policy applies to visitors to this website and to every user, administrator and organisation that accesses the CAQA HRMS platform under a subscription. It forms part of the HRMS Platform Terms and of each client's written agreement, and administrators are responsible for making their users aware of it.
The website and platform may only be used lawfully and for their intended purpose: managing genuine employment and workforce records for the client's own organisation. You must not use them to break any law, infringe anyone's rights, mislead or deceive any person, or interfere with any person, organisation or system.
Accounts are personal to the named user. You must not share credentials, use another person's account, sell or transfer access, or attempt to bypass authentication or permission controls. Employee data is sensitive by nature, so suspected compromise of an account must be reported to us immediately so access can be secured.
Without limiting the above, you must not: attempt unauthorised access to the platform, other clients' data, other employees' records or our infrastructure; probe, scan or test the security of our systems without prior written permission; introduce malware or other harmful code; interfere with, overload or disrupt the platform; scrape, harvest or bulk-extract data you are not authorised to hold; import personal information that was collected without a lawful basis; store content that is unlawful, defamatory, discriminatory or infringing; or use the platform to monitor or profile individuals beyond what employment administration lawfully requires.
Records held in the platform are about real people. Access must be limited to those with a genuine need, records must be used only for the employment purposes they were collected for, and information must not be disclosed outside the client organisation except as the law allows. Administrators should apply role-based permissions conservatively and review them regularly.
Clients and users are responsible for every message sent through or with the assistance of the platform, including onboarding notices, policy notifications and reminders. Messages must identify the sender, be accurate, and comply with applicable law, including the Privacy Act 1988 (Cth) and, where messages are commercial in nature, the Spam Act 2003 (Cth).
Platform resources are shared across clients. Bulk operations, large imports and high-volume document processing should be run in a way that does not degrade the service for others, and we may apply reasonable technical limits, queueing or scheduling to protect the stability of the platform for all users.
Where this policy is breached, we may remove offending content, disable affected workflows, suspend individual user accounts or, for serious or repeated breaches, suspend or terminate platform access in accordance with the Subscription Terms and the client's agreement. Where the law requires it, we may also notify the relevant authorities.
